Frequently Asked Questions (FAQs)

First of all we want to make sure we both vibe and are a good fit for one another. If you haven’t already, fill out our Consultation Form below or on our Contact Page.

We’ll have a meeting (zoom or in person) to go over expectations for your event, get to know one another, and establish a connection.  If you decide that you like to reserve a date for your event, we’ll move forward with a contract.  

Contracts and any payment are all done electronically.

Our payment structure is simple:
50% Retaining fee at the time of booking.
50% Balance due 2 weeks prior to your event.  

I hate that this questions has to be asked. Of course we do. People are people and love is love, and that’s that!

While no event is officially booked without a signed contract and paid retainer fee, our general philosophy is to keep an open line of communication with our clients. After our original consultation, we place a 7 day hold on your date.  If that contract isn’t signed and you’ve shown no interest or haven’t communicated with us, we move on.  However, communication is always key and if there’s an interest for your date, we can typically place a 24-48 hour hold on that date to allow you enough time to make a final decision. 

It should be noted that very popular dates during wedding season can sometimes feel like a “race” where multiple inquiries for the same date are received on the same day. We try to be as transparent as possible in these situations, but also can not hold dates without contract and payment.

All of our packages are customizable for our couples/clients. 

At a minimum, nearly all quotes will include:

  • Exclusive Date Reservation (Your DJ will never perform more than one wedding or large event in a day)
  • Custom DJ Booth Setup with all necessary performance equipment, wireless microphones, and lighting control.
  • Main Dance Floor Sound System with up to (2) Main Speakers and (2) Subwoofers
  • Site visits to any and all venues we have not previously performed.
  • Full access to your DJ for the creative planning process.
  • Arrival at the event at least 3 hours prior to guests.
  • Appropriate attire for the event.
  • Event Liability Insurance (Required by most venues)

This is all decided in the planning process. From tuxedos and black tie affairs, to jeans and boots at the Ranch, to flip flops at a pool party, everything is tailored for your specific event.  

For weddings and most formal corporate events I’ll be dressed in a full suit unless asked to otherwise. 

Every event is completely different and I want to personalize every one of my sets to match every one of my clients. I always tell my couples that I want their guests at their wedding to leave knowing that everything was tailored specifically to them. Part of the experience of working with Wave Source Media is the process of getting to know you and your guests. Who will be there and what is the goal of the event? Who’s that girl that is always ready to get the party started? Who’s the guy I need to watch out for? Getting your grandparents and your college best friend on the dance floor may be the goal at one event, whereas creating a minimal down-tempo lounge environment suited for conversation may make sense at another. 

Working with Wave Source Media is a very personal experience. We’re going to get to know each other extremely well by the time your event date arrives, and hopefully after that too!

Our top priority at your event is to create the experience you want for your guests. This means not only planning an agenda for the evening, but reading the crowd and adjusting as necessary.

At a wedding, typically we eat quickly with the photographers and then go back to mixing and MCing as your guests are finishing dinner. 

Absolutely! In fact, we believe that this is part of what makes an event flow or not. 

While Anyone can read and recite announcements, we believe that a true Master of Ceremonies will direct the energy of the room from helping guests feel comfortable upon arrival, making them aware of the night’s big moments, and ultimately directing the flow and vibe of the night!

While we’d love to say that equipment never fails, that’s just not the case when it comes to electronics.  

First of all, this is extremely rare, but we have built systems and assurances for when it does. We have back ups of controllers, mixers, computers, cables, and even speakers ready to be switched out on site. Without missing a beat we can redirect music from one source to another, fix the issue, and no one will ever know anything has ever happened.

DJ music is backed up to multiple computers and to the cloud, and synced prior to the event.

We strongly believe that if you fail to plan, you plan to fail. 

Let’s be honest, you’ll probably NEVER have to worry about any of this, but we’re 100% confident that IF there’s a situation with any equipment, your event will continue to flow to perfection as planned!

Once again, this is extremely unlikely. In the case of a personal emergency (which would have to be an EXTREME case like getting hit by as bus), we are connected with many DFW based DJ’s who will step in if needed.

All of our meetings notes, emails, etc would be available to them so they can pick up where we left off.  

This isn’t going to be anything you have to worry about, but just like we have backups for our equipment, we have backups for all our bookings.

There’s no specific answer to this question. It’s always on a case by case situation. My suggestion to couples is always to find their venue first. Here are some good things to consider:

  • Events occasionally book over a year in advance
  • The average wedding is booked 9 months in advanced
  • the average corporate event is booked 2 months in advanced, unless it’s a Christmas/Holiday Party (6-9 months on those, there are limited weekends in December)
  • The average house party is booked 6 weeks in advanced
  • Occasional events can be booked as little as 1 days notice

Some factors to consider:

  • Mid March through Mid June is very busy with Weddings, Graduations, Party Holidays (St Patrick’s Day, Cinco de Mayo, Kentucky Derby Day) and Outdoor Spring Parties such as BBQs and Crawfish Boils
  • Mid September through Mid November is PEAK Wedding Season in Texas. If you want one of these dates, book early!
  • December is extremely popular with holiday parties on both weekends and weeknights.

Yes. Whether you are hosting a destination wedding, a national sales conference, or just can’t find anyone like Wave Source Media near you, we can make this happen for you! Wave Source Media has done events throughout all of Texas, Massachusetts, New York City, Arizona, Florida, and even California.

There are obviously some travel  costs involved, but with proper planning, this can be an extremely smooth and exciting experience!

Yes. Wave Source Media carries full liability insurance. Certificates of Liability with your venue and/or organization listed as additional insured are available upon request free of charge.
